AI Notepad

AI-powered meeting notes with transcription, summaries, and cross-meeting search.

Overview

AI Notepad turns a meeting into a written record you can act on. Upload an audio or video file, import a Zoom cloud recording, or bring in a PDF, a web page, or pasted text, and get back a transcript, a summary, the decisions and themes, and action items with owners and due dates — plus an AI-narrated Audio Overview you can listen to. A Zoom import keeps Zoom's speaker names. Admins can also switch on desktop capture for recording and voice notes.

Typed notes start from a built-in or custom template: write freely, and one click turns rough notes into a clean write-up — then rewrite, expand or simplify any section, or restore an earlier version.

Every commitment lands in one dashboard sorted by overdue and due today, assignable to a teammate, checkable from a phone, and pushable into the Tasks app. Group related meetings into a notebook and ask a question across all of them; answers cite the conversation they came from. Automations create the tasks, email the summary to the attendees, or assign a Practice Hub scenario when processing finishes.

Share a meeting or a whole notebook. Admins keep one AI on/off switch, per-feature toggles, a recording-consent notice, and retention limits for meetings and audio.

Live meetings captured by the desktop app are transcribed in the cloud as well — recommended for accuracy, with the far side's speakers told apart (and a name suggested for each when the conversation shows who they are) and 25 languages understood; audio streams to MangoApps and our transcription provider while the meeting runs and MangoApps does not store it — unless your admin keeps desktop transcription on the laptop, where the audio never leaves the device. Your admin decides whether capture is on and whether the desktop keeps its transcription on the computer, what the consent notice says, and how long uploaded audio is kept; only the text reaches your workspace.

See a recording become an AI transcript, summary, action items, and key insights — then ask cited questions across meetings and push every commitment into the Tasks app.

FAQ

Upload an audio or video recording, record on a phone, import a Zoom cloud recording, or bring in a PDF, a web URL, or pasted text. Once an admin turns on Desktop capture, the OneMango desktop app can also record and transcribe a call while it happens — in the cloud, unless the admin keeps that transcription on the computer.

Common audio/video formats (MP3, MP4, WAV, M4A, WebM, OGG, MOV), plus PDF, VTT/SRT caption files, and plain text or Markdown. The default maximum upload size is 500 MB, and administrators can set it anywhere from 10 MB to 2,000 MB.

The Search page finds meetings and notes by keyword. AI chat goes further: ask a question about one meeting or across many (scoped by notebook, date range, or selection), and the assistant retrieves the relevant passages and answers with citations back to the source. It only ever reads content you already have access to.

Zoom is fully connected — import recordings manually or automatically via webhook. Microsoft Teams and Google Meet cloud import are not available yet; for those, upload the recording file directly.

Action items appear in a dashboard sorted by overdue, due-today, and this-week. You can assign them to teammates, check them off from web or mobile, push them into the Tasks app, and turn on a daily accountability digest email.

Notes are kept for 365 days by default; administrators can set 30 to 3,650 days, or keep them forever. Notes past the limit move to Recently Deleted, where they can be restored for 30 days before they are permanently deleted. Recordings have their own limit (30 days by default): once a note has finished processing, its recording is deleted after that many days and the transcript, summary, and notes are kept. A note in Recently Deleted keeps its recording until it is restored or permanently deleted; once restored, the limit applies again.

AI Notepad is built specifically for capturing meetings and notes and turning them into summaries, action items, and searchable knowledge. Its assistant also plugs into the platform-wide Ask AI so you can reach your meetings from anywhere. AI Sheets is a separate app for structured, spreadsheet-style data — use it when you need rows and columns rather than notes.

AI Notepad is for meetings — what was said, decided and assigned. For the screen and camera recordings you make on purpose (walkthroughs, how-tos, bug reports) and their cloud library, use Recorder; it hands recordings to Training, SOP Hub, Libraries and Service Desk.

Admins get a single switch to turn all AI processing on or off, per-feature toggles (audio overview, chat, output formats, revisions, comparison, sharing, automations), a configurable retention policy, and a usage & AI analytics dashboard.

Yes. On iOS and Android you can write a note, record audio (after confirming the recording consent notice when your organization requires it), edit a note, run Analyze with AI, retry a note that failed or got stuck, generate an Audio Overview, open a section's version history and restore an earlier version, browse your notebooks and open one to see its notes, file a note into an existing notebook, leave a note shared with you, see My Items — including From my notes, the items on notes you wrote — and complete or delete action items in bulk. Sharing, creating and managing notebooks, restoring a note from Recently Deleted, templates, automations, and settings are in the desktop web app.

AI Notepad is part of OneMango. It requires a license and is enabled per-tenant by your administrator rather than being on by default.
