Guest Pass AI
Pre-register, check in/out, and audit visits from chat.
Overview
Guest Pass runs the front desk for every visitor, contractor and interview candidate. Employees pre-register their guests in a couple of clicks, or import a list from a spreadsheet, and visitors can register themselves from a public page when you allow it. Each visit can wait for approval: the host decides with one tap from an email, or the approvers you choose work a pending queue. Approved visitors receive a link to their digital badge (with a QR code when QR badges are on) and a calendar invite, and check themselves in by scanning the badge at a lobby kiosk, or the front desk checks them in from the desktop and mobile apps. Hosts hear the moment their guest arrives and leaves, with their own quiet hours and channel preferences. A security watchlist screens visitors at approval and check-in, suspicious activity and overdue check-outs raise alerts to your security team, and every badge scan and status change lands in an access log you can export for audits. Dashboards and reports show daily traffic, busy hours and host activity, and a retention setting removes old visitor records on schedule. The Guest Pass Agent in Ask AI can look up visitors, register a guest, approve or decline a visit you may decide, change or cancel a visit, or check someone in or out at the front desk, always asking you to confirm before it changes anything. Billing is pay-as-you-go, per visitor check-in.
How visitors are pre-registered or self-register, check in at a QR kiosk or with reception, get screened against a risk-scored watchlist, receive a QR badge, and how hosts are notified on arrival and departure.

FAQ
Two ways: a visitor can scan their badge QR at an unattended kiosk or tablet to self check in, or the front desk can check them in from the desktop or on mobile. Either path records the actual arrival time, tells the host (when arrival notices are on), and re-screens the visitor against the watchlist.
Yes. An administrator enables the public self-registration portal (it is off by default). When enabled, a guest opens the registration link, enters their details, and picks their host; the host is notified and the visit waits for a decision — a self-registered guest is never approved automatically. An inactive badge is created and activated on approval.
Hosts get in-app and email alerts when their visitor is registered, arrives, and departs, plus an overdue-checkout alert if a guest stays past the expected departure. Urgent alerts can also go by SMS. Each host chooses their own channels, which of these notices they get, and quiet hours in Host Preferences.
You maintain a watchlist of flagged people with a risk level (low, medium, high, critical) and optional expiry. Visitors are matched by name, email, or phone at both approval and check-in. A match holds the visit for security review — and at a self-service kiosk the visitor only sees a general check-in refusal, never that they were flagged.
Every approved visitor gets a digital badge, with a QR code while QR Code Badges is on (the default). The visitor's approval email links to their badge. Staff can download the QR image as PNG or SVG, print a badge PDF, or — where Apple Wallet is set up — issue an Apple Wallet pass (.pkpass). Google Wallet is not yet supported. A badge keeps working until the visit's expected departure plus a configurable window (24 hours by default), and can be revoked or regenerated one at a time or in bulk; a revoked badge can be switched back on from its page while it is still valid and the visit is not over.
Guest Pass is pay-as-you-go: it is available to every tenant with no license to purchase and no per-seat fee, and you are billed per visitor check-in. Turning it on in the Apps Marketplace costs nothing until visitors actually start checking in.
A single registration can cover a party of up to 50. Badges carry access tiers from 1 to 10 by visitor type and keep working until the visit's expected departure plus an admin-configurable window (24 hours by default). Visits move through Pending, Approved, Declined, Checked in, Checked out, Expired, and Cancelled, and a retention job automatically purges old visitor data on the schedule your administrator sets.
Bookings reserves rooms, desks, and workspaces. When a booking includes external guests, it hands those guests off to Guest Pass — creating a Guest Pass visitor record — so they flow through the full check-in, badge, watchlist, and host-notification workflow. Guest Pass is the system of record for who is on-site; Bookings is the reservation that can originate the visit.
