HR Files

Secure document management system for HR files, candidate documents, and employee records.

Overview

HR Files is the single, audience-controlled library for every employee document — offer letters, contracts, certifications, performance reviews, tax forms, medical and garnishment paperwork — so HR stops keeping the real record in a shared drive and a mailbox.

Who sees a file is a property of the file, not a folder it happens to sit in. Each document carries an audience — just HR, HR and the employee, the employee's reporting chain, specific roles, or all active employees — and restricted types like medical, garnishment and disciplinary are kept to HR and the employee — plus whoever uploaded the file, holds a grant on it or, while it awaits approval, approves it — whatever audience is set. On top of that, per-person access grants cover the one-off cases, with an optional end date and a full history of who was given what and when. Files you treat as sensitive route through an approval queue before the wider audience — the reporting chain, specific roles or the whole company — can see them; editing an approved sensitive file sends it back for approval, and so does replacing the document of a rejected one.

Documents arrive without anyone filing them: Recruiting, Onboarding Hub, Forms, E-Signature, People, employee profiles and Policy Hub push their paperwork straight in, and an AI pass you can turn off reads each upload and suggests the type, category and expiry date for a human to confirm. Missing paperwork surfaces on a document-coverage roster, you can ask an employee for a specific document and track the request until it lands, and a file that needs a signature goes to the employee through E-Signature. Expiring certifications generate reminders ahead of the date and flip to expired on their own; retention policies compute a retire-by date and ask admins to review each file once it passes, with auto-archive optional and nothing ever deleted automatically. Managers pull an employee's packet as one zip instead of clicking through files one at a time.

Every view, download, grant and approval is written to an audit trail you can filter and export, downloads of sensitive files can require identity re-verification, and an optional setting archives a departing employee's records when they are deactivated rather than leaving them in the active list.

Keep every employee document in one secure, audience-controlled library with restricted file types, per-file access grants, approval workflows, and a full audit trail on views and downloads.

Capabilities

Access Control & Visibility
  • One audience setting per file: Just HR & admins · HR + the employee · HR + employee + reporting chain · HR + specific roles · All active employees
  • Restricted file types (medical, garnishment and disciplinary by default) are always treated as HR + the assigned employee, whatever audience is chosen Beyond HR and the employee, only the uploader, the approvers while the file waits for them, and people with an explicit access grant can open one.
  • Per-file access grants at four levels: Read Only, Read & Download, Full Access, Admin Access
  • Time-limited access grants that expire automatically
  • Suspend, restore, or revoke an individual person's access
  • Read-only grants allow viewing but block download
Approval Workflow
  • Sensitive documents wait in a pending-approval queue before the reporting chain, specific roles or all employees can see them
  • Approvers are admins, HR Files app admins and any groups you name in Settings A named approver can't approve or reject a file they uploaded, replaced with a new version, or that is about them — another approver has to. Admins can, so a one-admin company is never stuck.
  • Rejecting requires a reason, which the uploader is told
  • Bulk approve or reject from the Approvals queue
  • Editing an approved sensitive file sends it back for approval
  • Replacing a rejected file's document sends it back to the approvers
Auto-Sync from Connected Apps
  • Recruiting — resumes and signed offer letters
  • Onboarding Hub — tax documents, I-9, ID, and policy acknowledgments
  • E-Signature — completed signed documents
  • Forms — employee-submitted HR forms
  • People — files attached to a profile update request, once it is approved
  • Employee Profile documents
  • Policy Hub — the signature receipt when an employee signs a policy
  • Per-source rules control which document types, categories, and events sync
  • Consolidate a hired candidate's recruiting + onboarding documents into their employee HR files in one step
Compliance & Retention
  • Per-file expiry date with an expired-status flag
  • Dashboard alert for files expiring within 30 days
  • Configurable expiry reminders to the employee and uploader 30 and 7 days ahead by default; choose any of 1, 3, 7, 14, 30, 60 or 90 days in Settings.
  • Compliance-document flag and legal holds block deletion
  • Document-coverage roster flags employees below a document minimum
  • Optional auto-archive of a leaver's active files Off by default; compliance documents and files on a legal hold stay active. Whether it is on or off, when someone leaves HR Files withdraws the document requests asked of them (each requester is told) and revokes the access grants they hold.
  • Retention policies with a daily past-retention review Named policies of 1, 3, 5, 7 or 10 years (durations adjustable) or Permanent; admins archive, extend or delete each file, or turn on auto-archive. Files on hold are exempt.
  • Send a file to the employee for e-signature Through the E-Signature app: the file must be marked Requires signature and be a PDF. An employee with no email address signs in the app after confirming it's them with a texted code, PIN or password. When the employee finishes signing, the file is marked signed with the date and signer, and the signed PDF is added to it as its newest version. A signed copy that prints protected personal numbers, or is too large to copy, stays on its E-Signature request instead.
Audit & Export
  • Every view, download, edit, approval, and access change is logged
  • Per-file audit trail plus a business-wide audit log
  • Export the audit log to CSV, JSON, or PDF with a date range
  • Export the file list to CSV or JSON
  • Bulk exports are themselves recorded in the audit log
AI Assistant
  • Ask the AI agent to list and search your documents in chat
  • Get a document's details, audience, versions, and view and download counts via the agent
  • Surface documents pending approval, expiring soon, or compliance-flagged
  • Approvers can approve or reject a pending file in chat Shows a preview and asks for confirmation first; rejecting needs a reason.
  • Per-business toggle to enable or disable the AI agent
Storage, Uploads & Versioning
  • Encrypted cloud storage
  • Automatic version numbering on every upload
  • View and download any prior version
  • SHA-256 hash stored per version for integrity verification
  • Bulk drag-and-drop upload with shared metadata and tags
  • Company-wide documents not tied to any single employee
  • Archive and restore
  • Delete (with optional reason, recorded in the audit log) A deleted file cannot be restored from HR Files.
  • Virus scanning on upload Depends on your deployment. Where it runs the virus scanner, an infected upload is refused and never stored, and a version later found infected can't be downloaded. A file the scanner couldn't check is stored and can be downloaded, unless your organization pauses uploads while scanning is unavailable.

Use cases

Hands-off onboarding paperwork
Signed offer letters, I-9s, tax forms, and signed policies flow automatically from E-Signature, Onboarding Hub and Policy Hub into each new hire's HR files — no manual re-uploading.
Sensitive document approval
A performance review a manager uploads waits in the approval queue until an HR approver decides. Even if the manager is one of the approvers you name, they can't approve a file they uploaded themselves.
Compliance audit preparation
An HR admin exports the audit log to PDF or CSV for a date range, showing exactly who viewed or downloaded which files and when.
Manager visibility without oversharing
Set a file's audience to HR + employee + reporting chain so a manager sees their report's documents, while medical, garnishment, and disciplinary files stay between HR and the employee as restricted file types.
Missing-document follow-up
The Compliance roster flags every employee below the configured document minimum so HR can chase the paperwork that's still outstanding.
Post-hire document consolidation
Consolidate a hired candidate's scattered recruiting and onboarding documents into their new employee HR files in a single action.

FAQ

HR Files requires a license and is opt-in per tenant — an administrator enables it for your business from the Apps Marketplace. It is disabled by default until then. Contact your OneMango administrator about enabling it for your organization.

Each file has one audience setting: Just HR & admins, HR + the employee, HR + employee + reporting chain, HR + specific roles, or All active employees. Admins, HR Files app admins and the uploader, while they're still a member of your organization, always have access. On top of that you can add per-person access grants at four levels — Read Only, Read & Download, Full Access, Admin Access — that can be permanent or time-limited, and suspended or revoked. Restricted file types (medical, garnishment, and disciplinary by default) are always treated as HR plus the assigned employee, whatever the audience; beyond them, only the uploader, the approvers while the file waits for them, and people with an explicit access grant can open one.

When the approval workflow is on, sensitive documents are held in a pending-approval queue: until an approver approves, only HR, the uploader, the approvers, the assigned employee and explicit grant holders can see them. Approvers are admins, HR Files app admins, and any groups you name in Settings; a named approver can't approve or reject a file they uploaded, replaced with a new version, or that is about them — another approver has to. Admins can, so a one-admin company is never stuck. Rejecting needs a reason, which the uploader is told. Editing an approved sensitive file sends it back for approval, and replacing a rejected file's document sends it back to the approvers.

Yes to signature: a file marked Requires signature can be sent to its employee through the E-Signature app, as long as it is a PDF; an employee with no email address signs in the app after confirming it's them. When the employee finishes signing, the file is marked signed with the date and signer, and the signed PDF is added to it as its newest version; a signed copy that prints protected personal numbers, or is too large to copy, stays on its E-Signature request instead. Completed signed documents from E-Signature also sync in automatically. No to auto-delete: each file can carry a retention policy, and a daily check asks admins to review files past their retention date (or archives them, if you turn that on). Compliance documents and files under a legal hold can't be deleted and are exempt from the review. Nothing is ever deleted automatically.

Seven: Recruiting (resumes and signed offer letters), Onboarding Hub (tax documents, I-9, ID, policy acknowledgments), Forms (employee-submitted HR forms), E-Signature (completed signed documents), People (files attached to a profile update request, once it is approved), Employee Profile documents, and Policy Hub (the signature receipt when an employee signs a policy). Each source has its own rules for which document types, categories, and events sync, and re-synced files create a new version rather than a duplicate.

Individual files can be up to 100 MB (500 MB for video). Bulk upload accepts up to 50 files per batch. Supported formats are PDF, DOC, DOCX, XLS, XLSX, CSV, TXT, JPG, JPEG, PNG, GIF, MP4, MOV, AVI, WEBM, and MPEG. Files are kept in encrypted cloud storage.

The HR Files agent lets you list and search your documents in chat, pull up a document's details, audience and version history, and surface documents that are pending approval, expiring soon, or compliance-flagged. Approvers can also approve or reject a pending file — the agent shows a preview and asks you to confirm first. It only ever returns documents you already have permission to see, and an administrator can turn it on or off per business.

Drive is general-purpose file storage for collaborative work. HR Files is purpose-built for personnel records: it adds audience gating, sensitive-type clamps, an approval workflow, retention holds, and a full access audit trail that general storage doesn't have. Employee profile documents actually sync into HR Files, so the profile stays the employee-facing view while HR Files is the governed, auditable system of record for the underlying documents.
