Offboarding

Structured employee exit process with automated tasks.

Overview

OneMango Offboarding doesn't work off a static employee list that other systems have to poll or import — it runs on the same employee record as the rest of the platform. Completing a plan reaches directly into sibling apps: Benefits Management ends enrollments, voids future payroll deductions, and opens a COBRA eligibility record for the admin to review, and HR Files withdraws the leaver's open file requests and, where its archive-on-offboarding setting is on, archives their non-compliance documents. Revoking access — by hand from the plan, or automatically once the last working day is over — hands what the leaver owns to a surviving owner where those apps are enabled: Password Manager reassigns their vault credentials and Contracts hands their contracts and obligations to their manager.

Resignations route through configurable notice-period and approval policies. Every started plan is held to a next-business-day target on its required tasks with tiered escalation, and departures that arrive from your HRIS are also held to a same-day SOX/SOC access-revocation SLA, identity-provider deprovisioning included. A guided wizard drafts separation agreements with ADEA/OWBPA and state-specific clauses. Group layoffs add WARN notices and 60-day compliance tracking.

Each plan is a working checklist: tasks drawn from reusable templates, each with an owner, a due date and automatic reminders, plus the documents to collect, each with its due date. Exit interviews run from your own question templates and roll up into exit-reason trends and NPS reporting. Knowledge transfer captures the leaver’s systems, contacts and in-flight work section by section and hands it to a named successor before the last day. After it, the Former Employee Portal gives ex-employees a token-authenticated place to retrieve their pay stubs, tax forms, HR documents and experience letters for a window you control.

Run every departure end-to-end — self-service resignations with policy-based approvals, auto-built department task plans, scheduled account deprovisioning, exit interviews, and compliance documents.

Highlights

Let employees resign through self-service, with policy-based notice periods and 1–3-level manager and HR approval.
Auto-build a departure plan on approval — department-grouped tasks, due dates, and a completion dashboard.
Revoke access once the last working day has ended in your company's time zone: deactivate the OneMango account and hand vaults, contracts, workspaces and sites to a surviving owner — and, for plans your HRIS starts, disable Okta / Microsoft Entra ID / Google Workspace accounts connected for user sync with write access and reclaim the Slack seat.
Capture structured exit interviews with automatic NPS scoring and section-based knowledge transfer, with the named successor notified the moment it's documented.
Generate separation agreements, WARN notices and severance breakdowns with deadline reminders to HR, and hand COBRA to Benefits Management when a plan completes.
Trigger plans straight from your HRIS, and hold every started plan to a next-business-day termination SLA on its required tasks — HRIS-triggered departures also get a same-day SOX/SOC deprovisioning target — with tiered escalation and an audit trail.

Use cases

Employee resignation
An employee submits their resignation online. The system calculates the notice period from country/region/employee-type policy, routes approval through manager and HR, then auto-creates an offboarding plan.
Automated access revocation on the last day
Once the last working day has ended in the company's time zone, the daily job deactivates the OneMango account, ends sessions and hands the leaver's vaults, contracts, workspaces and sites to a surviving owner. For a plan created from an HRIS termination it also disables the Okta / Microsoft Entra ID / Google Workspace identity in a directory connected for user sync with write access (one that provisions people by SCIM is not called back), hands their files to the manager and reclaims the Slack seat.
Knowledge transfer
A departing senior engineer documents their responsibilities, ongoing projects, and key contacts across the eight knowledge-transfer sections, and the assigned successor is notified the moment the handover is ready to read.
Group layoff management
HR runs a group termination: WARN notices for employees, union, and the state agency, severance breakdowns with federal/state/FICA withholding, an OWBPA age-demographics report, and 60-day compliance tracking.
Exit interview analysis
Departing employees answer a standardized 12-question exit interview, or your own template; each submission auto-scores an NPS and a written summary that HR reviews on that employee's plan, and Analytics rolls up exit reasons.
HRIS-triggered departure
A termination in the connected HRIS fires a Merge.dev webhook that creates the offboarding plan automatically, and the departure is held to a same-day/next-day SOX/SOC SLA with tiered escalation.

FAQ

Employees submit a resignation through self-service. It flows through 1–3 configurable approval levels — manager, then optionally department head and HR — and the system calculates the minimum notice period from your country/region/employee-type policies. An authorized approver (for example an admin) can cascade through multiple levels in one action, and email and in-app notifications fire at each stage. Employees can withdraw a pending resignation with a reason.

Each plan carries a task checklist grouped by department (IT, HR, Facilities, Payroll, Legal, Finance) with priorities and due dates auto-set from the termination date, a completion-percentage dashboard with needs-attention alerts, document collection, exit interview and knowledge transfer, and compliance paperwork. Tasks and documents come from reusable templates — one per exit type, labelled by role level, with each task assigned to a department — and any task can have a Forms app form attached. Whoever runs the plan can hand a step to someone else or reopen a finished one.

HR or IT can revoke access by hand from the plan's Access Revocation checklist, or let the daily job do it once the last working day has ended in your company's time zone (the Auto-Revoke setting, on by default). Either way the employee's OneMango membership is deactivated, their sessions end, and their password-vault credentials, contracts, workspaces and sites are handed to a surviving owner where those apps are enabled. For plans created from a termination in a connected HRIS, the job also disables the account in Okta, Microsoft Entra ID, or Google Workspace at the same-day primary SLA, where that directory is connected for user sync with write access (a directory that provisions people by SCIM is not called back: switch them off there yourself), hands the departing employee's files to their manager (a Google Drive ownership transfer, or a OneDrive share), sets an out-of-office reply on Microsoft 365, and reclaims their Slack seat with recovered-cost logging. For plans created any other way, the access-revocation checklist lists those systems for IT to switch off by hand. A dry-run mode is available while you validate a connection.

The access-revocation checklist tracks systems, physical items (badges, keys), and equipment, recording a condition, received-by, and return-date against each item before the checklist can be marked complete. When Asset Pro is enabled, that equipment list is pulled from the employee's actual assigned assets instead of a generic checklist, so asset tracking stays in Asset Pro while the offboarding plan confirms the return.

Exit interviews use a default 12-question template (select, free-text, 1–5 rating, and 0–10 NPS question types) or your own per-business template; each submission auto-calculates an NPS score and a summary stored on that plan. Knowledge transfer is captured across eight default sections — key responsibilities, critical processes, systems and tools, key contacts, ongoing projects, tribal knowledge, documentation and files, and recommendations — with an optional successor who is notified by email and in-app alert once the transfer is submitted. Both can be required gates before a plan is marked complete.

Yes. Group terminations let HR plan a layoff event, generate employee, union, and state-agency WARN notices, and track 60-day WARN compliance with an OWBPA age-demographics report. A severance calculator produces a gross-to-net breakdown (federal, state, and FICA withholding), and the separation-agreement wizard adds ADEA/OWBPA and state-specific clauses; you send the agreement and record it with Mark as Sent.

Yes. An inbound Merge.dev HRIS webhook creates an offboarding plan when an employee is terminated in the connected HR system, with HMAC signature verification on every request. Plan creation is idempotent, so a replayed event won't produce duplicate plans.

Every plan you start with a termination date is held to a one-business-day secondary target for its required tasks; plans created from an HRIS termination also get a same-day primary target for identity-provider deprovisioning. Both use holiday-aware business-day math. Progress and breaches are written to an append-only audit log per plan. Once a plan is past its secondary target with required tasks open, a daily sweep at 09:00 UTC notifies the manager, adds HR after 24 hours, and from 48 hours adds super admins and the manager's own manager.

Onboarding Hub manages the start of the employee lifecycle — welcoming, provisioning, and ramping new hires — while Offboarding manages the exit: resignations, deprovisioning, exit interviews, separation agreements, and compliance. They are separate apps, each pay-as-you-go with no license to buy — Onboarding Hub draws platform credits per hire and Offboarding per exit — and each is opt-in per tenant, disabled by default until an administrator enables it from the Apps Marketplace.
