Asset Pro

IT asset inventory, tracking, and lifecycle management.

Overview

Most asset tools are a spreadsheet with a login — a list of hardware nobody outside IT ever opens. Asset Pro keeps the register on the same records the rest of the platform runs on, so a hand-off is a data connection rather than a re-entry: a Service Desk equipment ticket links to the asset it is about, a received Procurement purchase-order line becomes an asset with its vendor, price, and PO number already filled in, Inspections resolves a barcode Quick Scan straight against the register, and the vendor is one shared record across Asset Pro, Procurement, Contracts, and Supplier Hub. Devices sync in from Lansweeper, Intune, and Jamf instead of being typed twice.

Every asset carries a full chain of custody: assign it with optional manager approval, have the recipient acknowledge or dispute receipt, and record condition on return. Around that sit software licence seats (per-seat, per-device, site-wide, concurrent, perpetual, subscription), nightly straight-line depreciation down to a salvage floor, scheduled maintenance with per-record cost tracking, daily warranty and maintenance reminders, scan-based stocktake sessions, pallet-rack facility layouts, vendor and contract records, and six reports — inventory, assignments, depreciation, maintenance, device refresh, and EOL timeline — each exportable to CSV, PDF, or Excel. An Ask AI Asset Agent answers who has what and files equipment requests from chat.

Track hardware and software assets across their full lifecycle — checkout and check-in, preventive maintenance, straight-line depreciation, and warranty expiration — with an AI Asset Agent and audit-ready reports.

Highlights

Track hardware and software assets across their full lifecycle with auto-generated asset numbers (AST-##### hardware, SWL-##### software).
Assign equipment with checkout/check-in, optional manager approval, and overdue-return detection.
Schedule preventive maintenance and recurring per-category inspections from daily through annually.
Auto-calculate straight-line depreciation and stay ahead of warranty, subscription, and contract expirations.
Sync devices from Lansweeper, Intune, and Jamf, and link assets to Procurement POs, SOPs, and Service Desk tickets.
Ask the AI Asset Agent to find, request, and track equipment from chat, and export six reports to CSV, PDF, or Excel.

Use cases

IT laptop fleet management
IT assigns laptops with approval workflows, syncs them from Intune or Jamf, tracks warranty status, and schedules maintenance before hardware fails.
Software license compliance
Track per-seat and subscription licenses, allocate seats to users or devices, and get alerts before renewals lapse or a license hits capacity.
New-hire equipment provisioning
IT picks the devices on a new hire's onboarding plan, so their laptop, phone, and headset are checked out on day one — and the offboarding plan lists everything to collect when they leave.
Warehouse rack inspections
Facilities import a pallet-rack elevation drawing, generate an inspectable layout, and run recurring safety inspections with a full, deletion-protected compliance history.
Finance depreciation & refresh planning
Finance exports depreciation and EOL-timeline reports to Excel for asset valuation and to budget the next hardware-refresh cycle.
Self-service equipment requests
Employees ask the AI Asset Agent for a headset; it finds an available unit and files the request for their manager to approve. Managers and app admins are assigned at once unless approvals are required.

FAQ

Yes. With auto-depreciation enabled, an asset's value falls straight-line from its purchase price to its salvage value over its category's useful life; when the category sets no useful life, it falls by a configurable annual rate (default 20% of the purchase price a year) until it reaches salvage. Current value updates every night. Accelerated or double-declining methods are not supported.

Yes, through the Ask AI Asset Agent: an employee asks for, say, a headset, and the agent finds an available unit and files the request for their manager to approve before checkout. Managers and app admins are assigned at once unless assignment approvals are required. Every hand-over keeps full check-in/check-out history.

Yes. Asset Pro syncs devices from Lansweeper, Intune, and Jamf via the device discovery integration, and supports bulk CSV import for both assets and categories.

Six reports — inventory, assignments, depreciation, maintenance, device refresh, and EOL timeline — each export to CSV, PDF, and Excel. You can also bulk-print barcode/QR labels for selected assets.

Yes. Software assets support per-seat, per-device, site-wide, concurrent, perpetual, and subscription license types, with seat allocation to users or devices, compliance status, and configurable subscription-expiry alerts.

Yes. Any asset can carry a barcode or QR value, and Asset Pro auto-detects the symbology (EAN-13, UPC, QR, or Code 128) from the value you enter. You can bulk-print barcode/QR labels for selected assets, then scan them on the Scanner page (camera or handheld scanner), which resolves the barcode, asset number, or serial number — or point a phone's camera at a QR label to open the asset. Barcode scanning is an admin-toggleable feature.

Procurement handles the buying — purchase orders and their line items. Asset Pro manages what you own after it arrives: each asset can link back to the Procurement PO line item it was created from, then Asset Pro tracks its assignment, maintenance, depreciation, and end-of-life. Use Procurement to purchase equipment and Asset Pro to manage it through its lifecycle.

Yes. Schedule maintenance records per asset with cost tracking and a configurable maintenance interval (default 180 days) that drives overdue reminders. Separately, each asset category can require recurring inspections on a daily, weekly, monthly, quarterly, or annual cadence, and Asset Pro tracks pass rates and overdue-inspection status per asset.

Per-asset warranty alerts go to the asset's current assignee (default window 60 days before expiry), while a weekly warranty digest of everything expiring goes to admin-configured recipients or app admins. Software subscriptions carry their own alert window (default 30 days), and contract records send renewal notices for warranty, service, lease, and license agreements — software and contract emails start once an admin switches them on in Settings (both are off by default). All windows are admin-configurable.
