Background Checks

Integrated background check ordering and tracking.

Overview

Background Checks puts pre-hire screening inside the recruiting workflow instead of a provider portal someone has to remember to check. A recruiter orders a check on a candidate from the same place they moved that candidate through interviews, picks the screening package at order time, and the order goes to your connected provider — Checkr, Sterling, or HireRight. Status comes back on its own: Checkr through signed real-time webhooks, all three through an automatic polling backstop that keeps pending checks moving for up to 90 days, plus an on-demand manual sync when someone needs an answer now.

The part that usually goes wrong is adverse action, so it is automated end to end. Clear results can be auto-approved if an admin turns that on. "Consider" and "suspended" results route to the Needs Review queue, where recruiting staff record Approve, Reject, Conditional Approval, or Escalated to decide later — with notes required for Reject and Escalated. Adjudicating as rejected starts the FCRA sequence for you — the pre-adverse action notice goes out, a configurable waiting period of 1–30 business days counts down, and the final adverse-action notice sends automatically when it ends. If the candidate disputes the report, recording the dispute holds the final notice while the dispute is open, so it never goes out on a contested file.

Compliance is evidence, not a checkbox. The FCRA disclosure is tracked per check, and the candidate's authorization for Checkr invitations, adverse items are extracted and counted, and SSN, date of birth, and licence numbers are masked in the results view. Every order, status change, adjudication decision, adverse-action step, dispute, and cancellation lands in an append-only audit log with the actor and timestamp — the record HR needs when someone asks how a hiring decision was made. Recruiting staff get the full list, filters, and the Needs Review queue on the phone too; a job's recruiter and whoever added the candidate see that candidate's checks, a job's hiring manager sees their status only — never the decision — there, in Ask AI and in search, and an employee who applied internally sees their own check. The Ask AI agent is read-only by design: it lists, looks up, and summarizes checks in plain English, and never orders or adjudicates anything.

Order and track pre-hire background checks end to end — FCRA disclosure and authorization, package selection, manual or automated adjudication, and automated pre-adverse and final adverse-action notices, all captured in an append-only audit log.

Use cases

Pre-offer verification
A recruiter orders a check after the final interview so results are back before the offer letter goes out.
Consider-result adjudication
Recruiting staff open the Needs Review queue, review a "consider" result, and record an approve, reject, or conditional decision — all captured in the audit log.
FCRA adverse-action handling
On a rejection the app sends the pre-adverse action notice, counts down the configurable waiting period, and sends the final notice automatically; a candidate dispute holds the final notice until it's resolved.
Status follow-up
A hiring coordinator syncs a stuck check from the provider and works the dashboard's Awaiting Results count each morning.
Compliance audit
HR pulls the append-only audit log to confirm every hire was screened and every adverse action followed the required FCRA steps.
On-the-go review
A hiring manager checks the status of their candidates' checks from the phone between interviews.

FAQ

Checks are ordered one candidate at a time from inside the recruiting workflow — you choose a screening package at order time and the app places the order with your configured provider. There is no bulk or batch ordering today. Status flows back automatically, a completed check triggers a notification, and you can cancel a pending check (the cancellation is synced back to the provider).

Four standard packages: Basic Criminal (SSN trace, national criminal database, sex-offender registry), Pro Criminal (adds county and federal criminal searches), Comprehensive (adds employment, education, and reference verification), and Executive (adds credit report, civil court, media search, and extended history). Your provider can also define custom packages, which appear automatically at order time.

Checkr, Sterling, and HireRight. Each supports ordering, status tracking, and cancellation. You can configure more than one at a time and choose a preferred provider, and an admin can test the connection and store the API key and webhook secret per provider. Checkr delivers real-time status via signed webhooks; Sterling and HireRight status currently arrives through the automatic polling backstop and on-demand manual sync.

Clear results can be auto-approved if an admin enables it. "Consider" and "suspended" results go to the Needs Review queue, where recruiting staff record a decision — Approve, Reject, Conditional Approval, or Escalated (notes are required for Reject and Escalated). Approve, Reject and Conditional Approval close the review. Recruiting staff can reopen an Approve or Conditional Approval decision, with a reason recorded in the audit log, until the candidate is hired or starts onboarding, and a Reject until the final adverse action notice is sent (reopening a Reject stops the final notice; a notice already sent can't be taken back). Nothing is sent to the candidate when a decision is reopened. An Escalated check stays in Needs Review to be decided later. Every decision, the adjudicator, and the timestamp are written to the audit log, and the candidate's status updates automatically.

It records when the FCRA disclosure was sent and, for Checkr invitations, when the candidate authorized the check, and can auto-send the disclosure/authorization request. When a check is adjudicated as rejected, the app sends the pre-adverse action notice, waits out a configurable waiting period (1–30 business days, default 5), and then sends the final adverse-action notice automatically. If the candidate disputes the report, recording the dispute holds the final notice while it is open; the waiting period is not restarted. Adverse items are extracted and stored, and the full sequence is logged.

Yes. Recruiting staff see all checks with filters and the Needs Review queue on the phone; a job's recruiter and whoever added the candidate see that candidate's checks, a job's hiring manager sees their candidates' status only — never the decision — there, in Ask AI and in search, and an employee who applied internally sees their own check's status. The list and detail views work from any device.

The Ask AI agent is read-only: it lists background checks (with status, adjudication, or provider filters), pulls the details of a specific check, and summarizes overall metrics such as totals, status breakdown, and average time to complete. It never orders or adjudicates checks, and an admin can turn it off per business.

There is no license to buy and it's available to every tenant. MangoApps adds no per-check charge; your screening provider bills each check you order under your agreement with them.

The results list shows 25 per page on desktop and 20 on mobile, the Ask AI agent returns up to 50 checks per request, the FCRA waiting period is configurable from 1 to 30 business days, and pending checks are polled for status updates for up to 90 days after they're created.
