Overview
The Giving Campaign template is a single-page employee service page built around a fictional Northstar food-bank campaign. It opens with the cause, campaign dates and example dollar-for-dollar match, then explains who may participate and what kinds of gifts qualify. A question-and-answer table makes the example match rate, cap, exclusions and payment timing easy to scan. Numbered steps take an employee from checking the rules to submitting a gift and watching for confirmation.
Use this page when employees need one dependable place to understand a time-bound giving campaign and reach the related policy, pledge form and campaign updates. Its FAQ addresses practical questions about shift access, split gifts, donations made before the campaign, privacy and missing matches. The connected policy-links section is intended to display the current published rules; the page itself should not replace that authoritative policy. The named Northstar apps, dates, amounts, cause, access options and Community Giving team are fictional sample content and must be confirmed or replaced before publication.
Do not use this template as a donation-processing system, a standalone charitable-giving policy or a permanent directory of eligible charities. It does not itself submit a pledge, initiate payroll deductions, verify a charity or process a match. Before launch, confirm the campaign owner, eligibility and terms, working destinations, employee access routes and escalation contact. Review the page when terms change and after the campaign closes; remove expired instructions or redirect employees to the next current campaign. Keep the page readable on mobile and accessible to employees using assistive technology.
Standards & compliance context
- Treat the example eligibility, match rate, cap, exclusions and dates as fictional; have the appropriate policy owner confirm campaign terms before employees rely on them.
- Link to the organization’s current authoritative giving policy, and ensure the campaign summary does not conflict with that policy.
- Have qualified internal owners review any statements about charitable status, tax treatment, payroll deductions or donation processing rather than treating this template as legal or tax advice.
- Make the page and its connected destinations usable with keyboard navigation, clear headings, readable tables and assistive technologies in line with WCAG 2.1 AA accessibility practices.
General regulatory context for orientation only — verify current requirements with counsel or the relevant agency before relying on this template for compliance.
What's inside this template
Northstar Gives: Fill a Plate, Fill a Pantry
The opening identifies the sample cause, campaign window and matching offer so employees can quickly decide whether to read the details.
-
Give to local food banks between 3 November and 12 December, and Northstar matches eligible donations dollar for dollar. Fictional example: Northstar is the sample company on this page. The cause, dates and amounts are illustrative, so replace them with your confirmed campaign facts before you publish.
Why we are giving this year
This section explains the fictional campaign rationale, who may participate and what giving options the example offers.
-
Open to every Northstar employee, at every location and on every shift Many of the towns where Northstar employees live and work have food pantries that run short before the end of winter. This year, employees at our locations nominated food security as the cause for the Northstar Gives campaign. Every dollar you give goes to a registered food bank or pantry. Northstar covers the campaign's administration costs, so nothing is taken out of your gift. What to expect Campaign window: 3 November to 12 December (example dates). Who can take part: full-time, part-time and seasonal employees at every location. Giving is voluntary and you never need to tell your manager whether you gave. What you can give: any amount, as a one-time gift or a payroll deduction (example options).

How to give in four steps
The ordered steps take employees from checking eligibility through submitting a pledge and watching for match confirmation.
-
The same steps work on a desktop, on your phone or at a shared kiosk during paid break time (example access options). Check that your gift qualifies Read the matching rules in Policy Hub. If you are unsure whether a charity or gift type counts, ask before you give. Choose your charity and amount Pick one of the food banks in the campaign list and decide on an amount. Remember that matching stops at the per-employee limit, so check what applies to you. Submit your gift through Forms Complete the Northstar Gives pledge and donation form in the Forms app. Choose a one-time gift or a payroll deduction, and save the confirmation you receive. Watch for your match confirmation Northstar sends confirmation once the match is processed. Campaign totals and thank-you stories are posted in Communications.

Questions employees ask
These sample answers address access, matching eligibility, split gifts, privacy and the route for resolving a missing match.
-
Sample answers. Replace them with your confirmed company details before launch. Can I take part if I work on the floor, in a store or on a night shift? Yes. The campaign is open to every employee. You can give from your phone or from a shared kiosk during paid break time (example access options), and your supervisor can share the paper pledge card if you prefer. How do I know if my donation will be matched? Check the matching table on this page and the full rules in Policy Hub. In this example, gifts to registered food banks made through the campaign form during the campaign window are matched up to $500 per employee. Can I split my gift between more than one food bank? Yes. Submit one form per charity, or choose the split option on the form. Your total matched amount still counts toward the $500 example limit. I already donated to a food bank before the campaign started. Will Northstar match it? In this example, no: only gifts made through the campaign form during the campaign window are matched. Check the current Policy Hub rules for your situation. Will my manager or coworkers see what I gave? No. Giving is private and voluntary. Campaign totals are shared by location without names, and the match is processed by the Community Giving team (a fictional example team). Who do I contact if my gift does not appear or my match is missing? Contact the Community Giving team or your local HR representative, and have your form confirmation ready. If you spot an error on this page, tell the same team so it can be corrected, and the page is reviewed after each campaign closes.
How to use this template
- Replace the fictional Northstar cause, dates, eligibility, matching terms, limits, donation options and named teams with facts approved by the campaign owner.
- Connect the policy-links section to the current published giving policy, the Forms destination to the actual pledge route and Communications to the campaign update source.
- Assign a named role or team to maintain the page, answer employee questions and correct inaccurate campaign details before the launch date.
- Publish the page before the campaign opens and verify that employees can read it and reach each stated destination on mobile and any confirmed shared kiosk.
- During the campaign, direct employees with eligibility questions to the authoritative policy and tell them what confirmation to retain after submitting a pledge.
- After the campaign closes, confirm the match timing and support route, then update or archive the page so expired dates and terms are not presented as current.
Best practices
- Mark illustrative or sample terms during drafting, then remove the fictional framing only after every campaign fact has been confirmed.
- Keep the published giving policy as the authoritative rule set and make the page’s match summary consistent with it.
- State the campaign window, employee eligibility, match rate, cap, qualifying gifts, exclusions and payment timing in plain language.
- Name a real owner and correction route before launch, and give employees a specific next step for a missing donation or match.
- Verify that the pledge, policy and update destinations work for the intended employee audience instead of assuming a text label creates a functioning link.
- Do not promise phone, kiosk, paper-card or payroll-deduction options unless the organization has confirmed those routes are available.
- Keep donation participation voluntary and explain who can see individual giving information using approved privacy language.
- Review the page at launch, when campaign terms change and after close; remove stale dates and instructions promptly.

Common use cases
Frequently asked questions
Who is this campaign page designed for?
It is a service page for employees deciding whether and how to participate in a workplace giving campaign. The fictional Northstar example includes full-time, part-time, seasonal and frontline employees across locations. Replace that scope with confirmed eligibility and location details before publishing.
How often should we run or update the campaign?
The example shows a campaign running from 3 November to 12 December; those dates are illustrative, not a recommended schedule. Set dates that match your approved campaign plan, then update the page before launch and review it after the campaign closes. Remove or clearly archive expired campaign terms so employees do not mistake them for current rules.
Who owns the page and handles donation or matching issues?
The example names a fictional Community Giving team as the match-processing owner and points employees to that team or local HR for questions. Confirm the actual owner and correction route before launch, and identify who will update the page when campaign terms change. Do not publish the fictional team name as a real contact.
What makes a donation eligible for a match in this example?
The sample rules require a gift to a registered 501(c)(3) food bank or pantry, submitted through the campaign during its stated window. The example also excludes gifts to individuals or political campaigns and purchases that provide something in return. These are illustrative terms only; the current published giving policy must define eligibility and prevail if the page differs.
Does this template establish tax or legal compliance?
No. It provides a place to explain campaign terms but does not determine tax treatment, charitable eligibility or legal compliance. Have the appropriate policy, legal, finance or tax owner confirm the organization’s rules and wording before publication. Keep the policy link connected to the authoritative current version.
What should we customize before publishing?
Replace Northstar’s fictional cause, dates, eligibility, match rate, per-employee cap, qualifying donation types, payment timing and process owners with confirmed facts. Confirm the charity list and the routes employees use for policy, pledges and campaign updates. Remove any access option, such as a shared kiosk or paper pledge card, that your organization has not confirmed.
What integrations or connected content does the page expect?
The sample page uses live policy links from Policy Hub and directs employees to the Forms app for a pledge or donation and Communications for campaign updates. Those destinations must exist and be connected in the site; the template does not create a donation transaction, payroll deduction or match workflow by itself. Test each configured destination with the intended employee audience before launch.
How should we roll this page out to employees on different shifts?
Publish the page before the campaign opens, make its location easy to find in the existing intranet navigation, and ensure employees can access the stated donation route. The example mentions phone and shared-kiosk access, but those options must be verified locally. Share the same page with frontline, remote and office employees rather than distributing conflicting copies of the campaign rules.
Why use this page instead of an email or an ad hoc announcement?
The page brings the cause, eligibility, matching table, ordered giving steps, policy links and common questions together in one reusable destination. An email can announce the campaign and point employees here, while the linked policy remains the authoritative source for full rules. This reduces the chance that a forwarded message or outdated announcement becomes the only place employees can find campaign details.
