Benefits Management onboarding (first open enrollment)

Backwards-planned from a date nobody controls. Carrier feeds tested weeks ahead, plans parsed from the real SPDs and checked line by line, employees able to compare and elect on a phone, and every election reconciled against both the carrier file and the payroll deduction before the plan year starts.

Rolled out to every employee at AutoZone (125,000), PetSmart (50,000+), A.S. Watson and Raley's (20,000) — and at larger retailers we are not permitted to name.

Frequently asked questions

What makes a benefits implementation different from other HR rollouts?

The deadline cannot move and the customer does not fully control it. Open enrollment is set by carriers and the plan year, and a missed window means employees keep last year's coverage for another twelve months. Every date in the project is planned backwards from it, and there is a stated go / no-go point where the customer falls back to their existing process.

What is the longest lead item?

Carrier connections. Each one needs a group number, an EDI specification, SFTP credentials and a successful test transmission from an insurer who has no stake in this project's timeline. Five carriers means five independent clocks, and this work has to start in week one.

How much can be deferred past the first enrollment?

COBRA administration, ACA filing and wellness programs all have their own timetables and are genuinely separable. Plans, rates, eligibility, the carrier feed and the payroll deduction are not — an enrollment that is 90% configured is an enrollment that produces wrong coverage.

What is the most damaging error?

A wrong rate or plan detail shown during enrollment. Employees make a twelve-month financial commitment from what they are shown, so an incorrect deductible or premium is not a display defect — it is a decision made on bad information, and it is not straightforwardly reversible.
