People onboarding (keeping employee data correct)

The directory is correct the day it is imported and wrong within a year unless someone owns it. This plan sets up who may change what, which changes need approving, what employees maintain themselves, and how drift gets caught.

Rolled out to every employee at AutoZone (125,000), PetSmart (50,000+), A.S. Watson and Raley's (20,000) — and at larger retailers we are not permitted to name.

Frequently asked questions

How is this different from the initial employee data import?

The import belongs to the platform baseline and happens once. This plan is about keeping that data correct afterwards — self-service, approval routing, field ownership and a recurring decay check. A directory is accurate the day it is loaded and wrong within a year unless someone owns it.

Which fields should employees be able to change themselves?

Contact details, address and emergency contacts — the fields where the employee is the authoritative source and HR is only a bottleneck. Job title, manager, department and anything pay-adjacent should never be self-service, because they drive approvals, reporting and pay.

What is the most common cause of bad employee data?

Two systems both believing they own the same field. Where an HRIS or payroll system is the system of record for job title or department, this platform should sync rather than duplicate — otherwise the two drift and nobody can say which is right.
