What's inside this template

Attendance Expectations

  • Employees are expected to arrive on time and ready to work for every scheduled shift. Attendance is essential for team performance and customer service. Persistent absenteeism or tardiness affects the entire team and may result in disciplinary action.

Reporting an Absence

  • If you cannot work a scheduled shift, notify your supervisor as early as possible — at least 1 hour before shift start when feasible. Use the designated call-in number, app, or text method per your location’s procedure. Notification by family member is permitted in true emergencies but should be the exception.

Excused vs Unexcused

  • Excused absences include: illness with notice, scheduled medical appointments, jury duty, military leave, bereavement, approved PTO, FMLA, and disability leave. Unexcused absences include: failure to call, no-shows, and absences without acceptable reason.

No-Call / No-Show

  • A no-call/no-show occurs when an employee fails to report to a scheduled shift without notifying the supervisor. One no-call/no-show triggers documented coaching. Three consecutive no-call/no-shows is treated as voluntary resignation.

Tardiness

  • Arriving 7+ minutes after shift start without prior notice is considered tardy. Three tardies in a 30-day period is treated equivalently to one unexcused absence for progressive discipline.

Progressive Discipline

  • Attendance issues follow standard progressive discipline: verbal warning → written warning → final warning → termination. Each step requires documentation and HR review.
